Terms of Use

Effective August 1, 2026

Please read these Terms carefully before creating an account, joining a workspace, sending a document, signing a document, using AI-assisted review, starting a trial, or purchasing a subscription. If you use SignWorkflow for an organization, you represent that you have authority to accept these Terms for that organization.

1. Overview and acceptance

These Terms of Use govern access to and use of SignWorkflow, including the website, authenticated workspaces, document preparation tools, electronic signing flows, templates, AI-assisted document review, cloud export connections, subscription and billing features, audit records, retention tools, and related services.

These Terms should be read together with our Privacy Policy and Cookie Policy. If a separately signed agreement, order form, invoice, data processing agreement, or sales-assisted package applies, that document controls only where it expressly conflicts with these Terms.

2. Definitions

Term

Account

A SignWorkflow login created by an individual user to access the service.

Workspace

A shared business environment where documents, members, teams, billing, roles, templates, settings, and records may be managed.

Customer

The person, company, organization, or other legal entity that creates, purchases, administers, or uses a SignWorkflow workspace.

User

A person invited or authorized to access a SignWorkflow account or workspace, including owners, administrators, auditors, and team members.

Recipient

A person who receives a document for signing, viewing, approval, review, completion, or download.

Customer Content

Documents, templates, messages, recipient details, signatures, field data, metadata, files, and other material submitted to or generated through the service.

AI Output

Summaries, translations, clause explanations, risk notes, or other results generated by AI-assisted document review features.

Subscription

A paid plan, trial, renewal, sales-assisted package, or other commercial arrangement for access to SignWorkflow features.

Audit Record

System records, signer events, timestamps, completion summaries, hash-backed event chains, or related evidence produced by SignWorkflow.

Third-Party Service

A provider or integration outside SignWorkflow, such as payment processors, cloud storage providers, email services, analytics tools, or AI infrastructure.

3. Account authority and eligibility

You are responsible for the accuracy of account information, the security of login credentials, and all activity under your account. You must be legally able to enter into these Terms. If you use SignWorkflow for a company, organization, client, or workspace, you represent that you have authority to bind that entity.

Workspace owners and administrators are responsible for membership, roles, teams, billing ownership, document access, organization settings, retention configuration, legal holds, audit access, and other administrative choices.

4. Limited right to use SignWorkflow

Subject to these Terms, your plan, and any applicable written agreement, SignWorkflow grants you a limited, non-exclusive, non-transferable right to access and use the service for your internal business document workflows. SignWorkflow is provided as a service and is not sold to you.

You may not copy, resell, sublicense, reverse engineer, interfere with, or create derivative works from the service except where applicable law or a written agreement expressly permits it.

5. Customer content and workflow responsibility

You retain ownership of Customer Content. You grant SignWorkflow the limited rights needed to host, process, display, route, sign, store, export, audit, retain, delete, and otherwise operate the service for your workflows.

You are responsible for document content, recipient accuracy, field placement, routing choices, signer authority, template language, upload permissions, storage destinations, and whether a workflow is appropriate for your business or legal use case.

6. Electronic signatures and consent

SignWorkflow provides tools for preparing, routing, signing, downloading, and retaining electronic records. You are responsible for determining whether electronic signatures are appropriate for your document type, recipients, location, industry, identity requirements, witness requirements, notarization requirements, and retention obligations.

Audit trails, timestamps, signer events, completion summaries, hashes, and evidence outputs are designed to support review and recordkeeping. They do not replace your obligation to confirm enforceability or compliance for a specific transaction.

7. AI-assisted document features

SignWorkflow may provide AI-assisted summaries, translations, clause explanations, risk analysis, or related review outputs. AI Output can be incomplete, inaccurate, outdated, or unsuitable for your situation. It is not legal, financial, tax, compliance, or professional advice.

You are responsible for reviewing AI Output before relying on it, sharing it, or making decisions based on it. Do not submit content to AI features unless you have the right and authority to process that content through the service.

8. Fees, trials, billing, and renewals

SignWorkflow may offer free trials, Business, Business Plus, Enterprise, and sales-led packages. Plan availability, pricing, billing cycles, seat limits, feature access, and package descriptions are shown on the pricing page or in an applicable checkout, order, invoice, or written agreement.

Payments may be processed by third-party payment providers, including Razorpay for India-market subscriptions and PayPal for international subscriptions. Provider checkout terms may apply in addition to these Terms.

Unless a checkout or written agreement says otherwise, paid subscriptions may renew automatically until cancelled. Fees may be non-refundable except where required by law or expressly stated in a written agreement.

9. Third-party services and integrations

SignWorkflow may connect with cloud storage, payment, email, analytics, AI, support, or infrastructure providers. When you connect a provider, authorize delegated access, export a signed document, or use an integration, you are responsible for provider account permissions, destination folders, data handling choices, and any provider terms that apply.

SignWorkflow is not responsible for third-party outages, permission changes, provider-side deletion, account suspension, API changes, or external service behavior outside our control.

10. Security, credentials, and support

You are responsible for keeping credentials secure, limiting workspace access to authorized people, reviewing team membership, and promptly reporting suspected unauthorized access. SignWorkflow may use technical and organizational measures intended to protect accounts, sessions, documents, audit events, and infrastructure.

Support may be provided through available support, contact, or account channels. Support is for legitimate product use and may be limited, suspended, or redirected if requests are abusive, excessive, unrelated to SignWorkflow, or submitted by an unauthorized party.

11. Retention, deletion, legal holds, and audit records

Workspaces may use retention policies, legal holds, audit trails, completion evidence, trash, restore, and purge flows. Some records may remain available or restricted based on document status, retention configuration, legal hold state, billing records, fraud prevention, security, tax, compliance, or operational requirements.

You are responsible for configuring retention and deletion behavior that fits your business, legal, and regulatory obligations. Deleting an account, user, template, or document may not immediately delete every related record.

12. Restrictions and acceptable use

  • Use the service only for lawful business, document, review, signing, retention, and recordkeeping purposes.
  • Do not upload malware, attempt unauthorized access, probe systems without permission, disrupt the service, or bypass security controls.
  • Do not send spam, deceptive communications, fraudulent signature requests, or documents to recipients you are not permitted to contact.
  • Do not use SignWorkflow to misrepresent identity, signing authority, document status, recipient consent, or signature intent.
  • Do not use the service to violate privacy, intellectual property, employment, consumer protection, financial, healthcare, export, sanctions, or other applicable laws.
  • Do not use SignWorkflow to develop, benchmark, train, or operate a competing product except where expressly permitted in writing.

We may investigate suspected abuse and may suspend access, restrict features, remove content, or take other reasonable action to protect SignWorkflow, users, recipients, third parties, or the integrity of the service.

13. Suspension and termination

You may stop using SignWorkflow at any time. Subscription cancellation, account deletion, workspace deletion, document deletion, and purge flows may be subject to plan terms, billing state, retention settings, legal holds, audit requirements, and other operational limits.

SignWorkflow may suspend or terminate access if you breach these Terms, fail to pay required fees, create risk for the service, violate law, misuse the service, or if continued access could harm SignWorkflow, users, recipients, or third parties.

14. Disclaimers and limits of responsibility

SignWorkflow is provided as a document workflow and electronic signing service. Except where a written agreement says otherwise, the service is provided on an as-available basis and may change over time. We do not promise that every feature will be error-free, uninterrupted, compatible with every document, or legally sufficient for every use case.

To the maximum extent permitted by law, SignWorkflow is not responsible for indirect, incidental, special, consequential, exemplary, or punitive damages, or for losses caused by Customer Content, recipient behavior, third-party services, unauthorized account use, or workflows configured outside the service instructions.

15. Updates, notices, and contact

We may update features, plans, limits, documentation, policies, and these Terms as the product evolves. If changes are material, we will use reasonable methods to notify users, such as posting an updated effective date, showing an in-product notice, or sending an account communication where appropriate.
